The HR Assistant will support the overall HR operations and project activities. The role will ensure proper documentation, communication, and resolution of staff concerns in line with organization guidelines, while assisting with broader HR responsibilities such as record keeping, archiving, and administrative support.

 

Key Human Resource Duties:

Recruitment Process:

  • Ensure that all the positions have Position Request Form and Job description.
  • Preparing job vacancies, screen applications, monitoring test and assisting in scheduling interviews.
  • Assist with reference checks and preparing the onboarding schedule.
  • Creating employee profiles.

 

Attendance and Timesheet Management and employee requests:

  • Collect, verify, and organize employee timesheets and leave records on monthly basis.
  • Reporting and attendance issues to the HR Officer.
  • Respond to basic HR inquiries from staff related to policies, procedures, and benefits.
  • Direct complex inquiries to the HR Officer.
  • Help schedule and organize HR-related meetings, interviews, and employee trainings.

 

Maintain Employee Records and Document Archiving:

  • Prepare and update the employment contracts, amendments and/or any other contractual document.
  • Assist in updating and organizing employee files, ensuring accurate and up-to-date records.
  • Requesting any missing document.
  • Archive and maintain digital and physical HR documents, including recruitment files, employee personal files and administration files.
  • Handle confidential employee information in a secure and compliant manner.

 

Payroll & Benefits Administration

  • Prepare and provide all documents necessary for payroll preparation to Finance and HR & Admin Office, at the beginning of each month to ensure new information are included in payroll for that month.
  • On monthly basis checking the staff attendance and their Finger prints, taking the necessary actions.
  • Reviewing staff timesheets in accordance with the attendance guidelines and taken leaves.
  • Collecting necessary signatures for payroll and any other related document. 

 

 

Performance and professional development

  • Assist in implementing the performance management system.
  • Ensuring each position has performance objectives.
  • Support the line managers in determining appropriate disciplinary plans of action.
  • Act as an impartial mediator in disciplinary procedures and ensure it is administered in an equitable and fair manner and meets local labor laws. 



 

Mandatory Qualifications required

 

  • University degree in HR management, business management, or related area.

  • Minimum 2 years HR Management experience.

  • 2 years’ experience with NGOs is required.

 

Languages

  • Arabic : Level---- Fluent

  • English: Level---- Good

 

 

 

 

 

 

 

 

 

 

 

Competencies:

  • Being Flexible and able to handle workload.
  • High attention to detail and organizational skills for maintaining accurate HR documentation.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Computer proficiency with Microsoft Office (Word, Excel, PowerPoint).

     

 

The salary will be defined regarding the SAMS’s Office salary scale on-going.
