Report to: Head of Programmes
General Responsibility:
The PO is primarily responsible to perform the assigned tasks, ranging among the ones listed below. However, flexibility and availability to perform additional programmatic and operational tasks, if and when needed, are a mandatory requirement.
The Project Officer is required to duly and timely perform all programmatic and operational tasks assigned under the general supervision of the Project Manager in support and close coordination with relevant departments.
Facilities follow-up:
- Support the Project Manager (PM) in planning, managing, implementing and monitoring all the project activities related to the health and protection components;
- Follow-up on project facilities through regular field visits, follow-up on action points, coordination with other UPP relevant departments (Medical, Protection, MEAL, Admin, Logistics, Security);
- Monitor the project needs in terms of correct functioning of the health facilities and protection services supported and report them to the PM;
- Keep good relationship with HFs Team Leaders;
- Share the Weekly Meeting updates;
- Perform field visits (at least twice per month for each facility) and share the Visit Report to the Program Team and the relevant people accordingly;
- Ensure protection mainstreaming in supported facilities, through ProM reports; follow-up of protection team action points and make sure all departments are involved and follow-up on their responsibilities;
- Facilitate seminars, training and capacity building activities in the framework of project, provide all training-related documentation;
Coordination:
- Support the PM in organisation of team and project coordination meetings, and support in taking the minutes of the meetings;
- Representing the project in the technical meetings and in sectorial coordination meetings if not attended by the Medical Coordinator, Medical Advisor or PM upon PM assignment;
- Follow-up on facilities updates and actively participate in coordination meetings, take minutes and act on action points when relevant;
- Assure and maintain good relationship, good communication flow and good coordination with UPP partners in the project; assure and maintain good relations with all the project team, including technical teams (Medical, Protection, MEAL);
- Support in drafting agreements with partners when asked by the PM;
- Establish / follow up on mechanisms to improve effectiveness and efficiency of field activities and ensure coordination and information sharing among the project components and stakeholders.
Reporting:
- Draft reports, including field visit reports and share them with PM and relevant departments;
- Support the collection of information for reporting purposes, and report writing;
- Support in donor reporting (monthly report);
- Support in internal reporting;
- Support in drafting any other report that might be required by the PM.
Admin/logistics:
- Support the PM in identifying project needs;
- Support the PM in collecting project needs in preparation of procurements and purchases launched for the project;
- Support the PM in keeping track of project stock in relation with logistics department;
- Support PM in drafting project PRs as well as warehouse requests;
- Support the PM, when asked, in drafting supportive documentation;
Requirements:
- Experience: 3 – 5 years preferably in project management
- Education: Bachelors degree necessary. Masters preferred
- Languages: Arabic, Kurdish are necessary alongwith functional knowledge of English
- Skill: Proficient with Microsoft softwares including MS Word, Excel, Powerpoint.
