HR Support

  • Scan and follow up on staff leave requests.
  • Handle confidential information with discretion and professionalism.
  • Assist in the recruitment process when required.
  • Prepare and update the timesheet tracker; share with the HR Officer and follow up with staff.
  • Ensure that all timesheets are collected and submitted to the HR Officer on a monthly basis.
  • Support the staff induction process.
  • Support the HR Assistant in maintaining personnel files for volunteers.
  • Manage scanning, printing, and filing of all HR-related documents.

Recruitment

  • Support in posting advertisements for volunteers and casual workers.
  • Contact candidates before written tests and interviews (for incentive volunteers and staff, if needed).
  • Collect employment applications from community contacts and camps.
  • Coordinate with the IT team and HR Assistant to prepare laptops for written tests.
  • Organize interview logistics.
  • Communicate regret notices to unsuccessful candidates (incentive volunteers and staff, if required).
  • Support the HR Assistant in preparing and updating the database of volunteers.
  • Support the Assistants in preparing the longlist for incentive volunteer positions
  • Support in conducting reference checks.

Confidentiality

  • Ensure all HR decisions, issues, and records are handled with strict confidentiality
  • Bachelor’s degree preferably in Human Resources, Business Administration, or any related field

 

EXPERIENCE AND SKILLS

 

  • Minimum 1 years’ experience in an HR, Administration or any other related position
  • At least one years’ experience in an HR, Administration or any other related position with INGOs
  • Strong communication skills and ability to deal with different people.
  • good verbal and written English skills.
  • Computer literate (including working knowledge of Microsoft Office) and ability to do internet based research
  • Excellent attention to detail, organizational skills and discretion with confidential information
  • Ability to work independently and proactively
  • Proven ability to handle challenging work load
