The Pharmacy Officer is responsible for supporting and monitoring pharmacy services across assigned Primary Health Care Centers (PHCCs). The role ensures compliance with pharmaceutical standards, Good Distribution practices GDP, proper medicine management, rational drug use, and quality pharmacy services processes in accordance with Organization standards. The Pharmacy Officer provides technical support to PHCC pharmacists and pharmacy assistants and reports on pharmacy performance, stock management, and compliance to the administration line manager : Kobane Medical Manager and Technical Line manager: NES Pharmacy Manager.

 


 

1.      Stock Management and Quality management :

•        Ensure proper pharmaceutical storage, stock control, and GDP compliance.

•        Monitor stock levels and maintain medicine availability at PHCCs and the central warehouse.

•        Organize storage according to international standards (FEFO, INN, labeling, and expiry control).

•        Conduct regular inventories and report stock status, including shortages, overstock, and expiries.

•        Maintain accurate stock records in Stock Cards and SagaStock, monitor consumption, and forecast supply needs.

•        Supervise medicine distribution to PHCCs and support efficient inventory management.

 

2.     Reception and preparation of orders

•        Verify the quantity and quality of received items and report any discrepancies.

•        Record all stock receipts in physical and electronic inventory systems, including stock cards.

•        Prepare and distribute medicines and medical supplies based on field requests and project needs.

•        Review requests against consumption trends and stock availability to ensure rational supply.

•        Update inventory records, coordinate timely deliveries, and report order-related issues to the Medical/Pharmacy Manager.

•        Support local and international procurement, prepare donation documentation when required, and monitor facility requests to forecast needs and facilitate stock transfers between bases.

 

 

3.     Collection and analysis of drugs consumption

•        Maintain accurate stock and consumption records in Stock Cards, SagaStock, and monthly reports.

•        Prepare and submit weekly and monthly pharmacy reports.

•        Monitor medicine consumption, identify unusual trends, and support forecasting and reporting.

•        Assist in implementing drug consumption tracking tools in supported health facilities.

•        Ensure compliance with donor requirements, Ministry of Health regulations, and organizational pharmacy policies.

•        Perform other pharmacy-related duties as assigned.

4.      Team Management :

•        Provide on-site supervision, mentoring, and technical support to pharmacists and pharmacy assistants.

•        Assess staff competencies and deliver refresher training on medicine management, dispensing, pharmacovigilance, infection prevention, and documentation.

•        Organize regular pharmacy team meetings and support recruitment of pharmacy staff.

•        Report HR and performance-related issues to the Medical Manager, Medical Supervisor, or Pharmacy Manager.

5.      Trainings :

•        Identify the training needs of the pharma teams in the PHCCs, conduct trainings, follow up and evaluations.

•        Conduct regular on job training and supportive supervision of the PHCCs Pharmacy staff..

 

6.      Reporting :

•        Provide weekly program updates during team meetings.

•        Prepare and submit weekly and monthly reports on stock movements, shipments, and medicine consumption.

•        Maintain and update consumption databases and shipment records in collaboration with the Medical Manager, Pharmacy Manager, and Medical Supervisor.

Share consumption analyses with the medical team to support planning and decision-making.

 

7.      Others :

•        Keep organization team informed on any issues related to logistics and/or pharmacy.

•        Report any security related issues to the Field -Manager / Medical Manager / Pharma-manager

•        Support operational organization of field trips and organization programs/activities.

•        Translate verbally and by written when necessary.

•        Participate in internal meetings.

•        Any other related organization tasks as assigned by functional and /or line manager.

 


 

•        University degree of pharmacy (Pharmacist) or related.

•        Minimum 3–4 years of pharmacy experience related to Medical warehousing and team management with humanitarian organizations or NGOs

•        Experience in pharmaceutical supply chain management is preferred.

•        Languages: Arabic and English , and Kurdish is an advantage

•        Knowledge of essential medicines and rational medicine use.

•        Excellent analytical and reporting skills.

•        Strong supervisory and mentoring abilities.

•        Good communication and interpersonal skills.

•        Proficiency in Microsoft Office (Excel, Word, Outlook).

•        Ability to travel frequently to PHCCs.

•        Ability to work under pressure and manage multiple priorities.
