The HR Assistant provides essential support to the Human Resources function by performing administrative tasks, assisting in recruitment and onboarding, managing staff records, and ensuring compliance with organizational policies and procedures. The role works closely with HR Officer to maintain accurate documentation and contribute to efficient HR operations.

Staff Reporting to this Role: None
In emergency or humanitarian response scenarios, the HR Assistant may be required to provide additional support as necessary.
Employee Records & Documentation:
Maintain accurate and up-to-date staff records (both digital and physical) and coordinate with HR team to ensure timely receipt of required documents.
Ensure proper filing and organization of all HR-related documents for compliance and audit purposes.
Track expiration dates for contracts, agreements, and other HR-related documentation, ensuring timely renewals or necessary follow-ups.
Recruitment & Onboarding:
Support the recruitment process by drafting and posting job announcements, managing applications, scheduling interviews, and participating in recruitment panels.
Assist in the preparation of employment offers, contracts, and onboarding materials for new hires.
Provide orientation sessions for new hires, ensuring they understand organizational policies, procedures, and expectations.
Payroll & Leave Management:
Support the preparation and submission of payroll documents to the Finance team.
Follow up on the accuracy and timely submission of leave forms on the system from field team.
Ensure updating staff information on NES timesheet system and managing leaves.
Compliance & Administration:
Process staff requests, such as letters, certificates, or documentation, and provide relevant information as needed.
Ensure employees are informed of policy updates and organizational procedures in a timely manner.
Performance Management:
Assist in coordinating performance appraisal processes, ensuring timely submission and follow-up on improvement plans as required.
Monitor completion of quarterly and annual appraisals, escalating any delays or issues to the HR Officer.
Capacity Building & Training:
Collaborate with HR Officer to organize and deliver staff inductions, refresher trainings, and other capacity-building sessions.
Track participation in mandatory training and provide reports to HR management.
General Support:
Support the HR team with ad-hoc tasks and special projects assigned by the HR Officer or HR Coordinator
Assist in HR-related investigations and grievance cases by preparing documentation or gathering necessary information when required.
Ensure all activities are conducted in compliance with Blumont’s policies, including the Code of Conduct, Anti-Harassment & Bullying, and Equal Opportunities policies.
Bachelor’s degree in human resources, Administration, or related fields.
Up to 3 year of proven work experience as an HR Administrative Assistant.
Proficiency in MS Office applications and HR software tools.
Knowledge of labor legislation and local employment laws.
Fluency in English and Arabic (both written and spoken).
Strong communication and interpersonal skills.
Excellent organizational and time-management abilities.
Demonstrated ability to handle confidential information with discretion.
Proven ability to work collaboratively in a team environment.
Good facilitation skills, with the ability to deliver effective training sessions.
