Position: Supply Chain Assistant

Direct manager position: Supply Chain Officer

Project/ Workplace: Deir Ezzor City

KEY RESPONSIBILITIES

Procurement Support

  • Support procurement processes related to project activities, including medical equipment, devices, medicines, medical supplies, and rehabilitation materials.

  • Assist in preparing purchase requests, RFQs, bid documentation, and procurement files in line with organizational procedures.

  • Collect and organize supplier quotations and support bid analysis processes.

Logistics & Supply Chain Operations

  • Follow up on procurement status, delivery timelines, and supplier communications.

  • Support coordination of transportation, delivery, and distribution of procured items to hospitals and project sites.

  • Assist with organizing installation and handover of medical equipment when required.

Warehousing & Inventory Management

  • Support receipt, inspection, and documentation of delivered items.

  • Ensure proper recording of stock movements, inventory updates, and asset tracking.

  • Assist in maintaining organized storage conditions in line with safety and quality standards.

Coordination & Field Support

  • Coordinate closely with the Project Coordinator, Project Officer, and technical teams to ensure supply chain activities align with project timelines.

  • Support field visits to hospitals and sites to follow up on deliveries, stock usage, and logistical needs.

  • Liaise with suppliers, contractors, and service providers as required.

Documentation & Reporting

  • Maintain complete and accurate procurement and logistics documentation, including delivery notes, GRNs, waybills, and asset records.

  • Support preparation of logistics and supply chain reports for the project.

  • Ensure all documentation is properly filed and available for audits and donor reviews.

Compliance & Quality

  • Ensure all supply chain activities comply with Action for Humanity policies, donor requirements, and internal controls.

  • Support adherence to quality assurance, safety, and safeguarding standards.

  • Report any supply chain risks, delays, or irregularities to the supervisor promptly.

Other Duties

  • Perform any other logistics or supply chain tasks assigned by the Supply Chain Officer or Project Coordinator relevant to the role.

PERSON SPECIFICATION

 

Essential:

  • Diploma or Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.

  • Minimum 1–3 years of experience in procurement, logistics, or supply chain support, preferably in humanitarian or development projects.

  • Basic understanding of procurement and logistics procedures.

  • Good organizational and documentation skills.

  • Ability to work under pressure and meet deadlines.

  • Strong coordination and communication skills.

  • Commitment to humanitarian principles, safeguarding, and organizational policies.

 

Desirable:

  • Previous experience supporting procurement of medical equipment, medicines, or health supplies.

  • Experience working with INGOs or donor-funded projects.

  • Familiarity with warehouse and inventory management systems.

  • Experience working in conflict-affected or early recovery contexts.
