Report any security concerns or issues to the HR manager/Operation coordinator on a timely basis.
Maintain a hard copy of all Administrative and HR files (lease/service/employment Contracts, staff files, Recruitment files, etc...) and make sure all documentations are completed. Ensure soft copies are regularly uploaded on SharePoint and hard copies are securely transferred to Central filing.
Maintain all premises rental agreements in Deir Ezzor and be responsible of preparing payments and contractual documents on time. Liaise and report any property maintenance issues to the landlord

Ensure that all utility bills are processed and paid in a timely manner (electricity, water, telephone and internet). 

Maintain the office and equipment to ensure they are functional and meeting health and safety standards.

Be responsible for the preparation of supply requests for office equipment and supplies as and when required.in addition to the filling of Admin /stock register.

Supervising the generator operation process and ensuring that operation and maintenance records are accurately completed by the receptionist or security guard.

Ensuring that attendance records for centres and office are maintained monthly

HR:

Manage all documentation related to the administration of staff contracts, benefits and maintain adequate records of all correspondence. 
Maintain a staff database and monitor expiry dates of all staff contracts with monthly updates to the HR and Admin Manager/Coordinator
Monitor staff absence and leave while ensuring all appropriate documentation is updated and filed correctly with the support of HR Assistant.  
Oversee and manage the recruitment process for all roles in both the locations. Ensure roles are adverted both online, internally and in any other relevant locations. 
Invite all candidates to technical test and interview in a timely manner. 
Participate in interviews and prepare interview reports for all recruitment. 
Oversee the reference checks process are carried out before offer letters are issued.
Ensure timely submission of recruitment information to the HR and Admin Manager/Coordinator 
Manages and prepares data for monthly, weekly and ad hoc reports related to talent acquisition to the HR & Admin Coordinator. 
Oversee the payroll report submitted by the HR Assistant on monthly basis and ensure that the calculations of allowances and deductions are done accurately
Regularly update staff on benefits as per the HR manual and address staff queries in timely manner.
Manage the process of employees’ induction and ensure that all employees are thoroughly orientated
Provide training on the PDR process and manage the process of staff performance development reviews and ensure all staff have an up-to-date PDR filed in their personal folders. 
Ensure the implementation of identified staff training and development activities 
Update Organogram on a monthly basis.
Promoting employee well-being and duty of care.
Give feedback on ways that current processes could be improved.
Ensure all staff are trained on Code of Conduct and Associated Policies. 
Hold training on Syria HR Manual so all staff know their entitlements.
Ensure all leavers have an exit interview and feedback is given to relevant parties.  
Line manages and train current HR Assistant.
Support the HR & Admin Manager with any ad hoc HR related requests.

Experience Requirement:  
3 years of relevant working experience at NGO 
Proven HR management experience  
Degree in Business Administration or other related discipline (Human Resource) 
Handson experience in MS office   
Safety experience  
Experience with budgeting & budget monitoring 
Team management experience  

Skills:  
Fluent English & Arabic languages both writing and oral skills.
Excellent interpersonal and communication skills.  
Confidential, of integrity and ability to handle sensitive situations 
Proficiency in computer applications 
Capable of prioritizing, reviews priorities and manages multiple priorities to strictly adhere to the deadlines 
Ability to identify potential problems and recommend solutions.
