P&C Administration and Support

  1. Administer local P&C systems

  2. Maintain and keep staffing lists for all categories of workforce (employees, service, casual, volunteers, interns, etc)

  3. Maintain and keep accurate and updated personnel files, and ensure high level of confidentiality at all times. In collaboration with the P&C department employees, set up and maintain filling system that is complaint with LPPD laws and Local Law.

  4. Follow up and prepare contracts, amendments and annexes for employees, service, casual, volunteers, interns, etc in a timely manner.

  5. Keep P&C related templates updated and available for staff.

  6. Issuing experience, employments and official letter as requested.

  7. Prepare any required P&C data reports.

  8. Monitor staff attendance and handle any required process.

  9. Manage the workday employee’s data to ensure it is updated and accurate.
  10. Support in the recruitment full cycle
  11. Other requested tasks from the line manager

 

  1. Payroll Administration

Focal point for preparing and submitting payrolls for casual workers (Enumerators) ensuring their timesheets are accurate and gathered on a monthly basis.

 

  1. Recruitment, Orientation and Training

    • Support with the recruitment process for full time, freelancers, Intern, etc:
    • Support in advertising the new positions on workday system, local groups and relief web after receiving fully signed PRF
    • Shortlisting the best qualified candidates.
    • Contact candidates for tests and interviews arrangements
    • Schedule and participate in interviews in coordination with the interview panel.
    • Communicate with the selected candidates to conduct reference checks and proceed with the required recruitment arrangements as per WV policies.
    • Prepare all related hiring documents, forms and contracts and ensure signed documents are properly archived within P&C files.
    • Provide necessary support in staff recruitment, selection and contracting as needed and participate in panel interviews upon the Line Manager request;

 

  • Provide assistance in arranging and conducting orientation and induction sessions for new staff;
    • Manage the workday Recruitment Module and ensure 100% utilization of Recruitment for all local recruitments;
      • Conduct Block party screening when is required.
      • Prepare contracts for Full time, Freelancers, Interns, etc. as needed.
      • Ensure that all full-time staff, freelancers, etc. sign on WV partnership policies
  • Other

  • Responsible for the induction/ orientation arrangements for newly hired employees.
  • Represent WV in an appropriate and professional manner
  • Adhere to WV Child Protection policy and standards and stay committed to WV vision statement and core values;
  • Perform other relevant tasks assigned by the direct supervisor Provide General P&C operations support.

  • Preparing a long list of CVs.
  • Provide necessary support in staff recruitment, selection and contracting as needed and participate in panel interviews upon the Line Manager request.
  • Maintain and update all P&C documents ensuring accuracy and completeness ensure high level of confidentiality at all times.

  • Scan all personnel files to create electronic copies for easy access and storage.
  • Ensure that all full-time staff, and all casual workers, volunteer's freelancers, etc. sign on WV partnership policies.
  • Perform other relevant tasks assigned by the direct supervisor

Admin work

 

  • Serve as the focal point of contact for office/guest house maintenance, mailing, supplies equipment, bills, errands and shopping.

  • Organize, oversee and manage the maintenance of office support services provided by the whole administration department, including housing, stationary, furniture and general supplies, maintenance services. Etc

  • Keep track and conduct regular physical checks of all WVI admin leased assets including accommodation and offices according to standards and policies

  • In coordination with liaison officer and PnC Specialist, ensure all work permits (if and when applicable) are prepared/cancelled, as well as end the procedures for withdrawing employees' entitlements from income tax, and what follows that of preparing the necessary licenses for that.
  • Coordinate matters related to customs (providing advice before any process of shipping contents to the office or projects, receiving and clearing shipments and parcels, customs exemptions related to projects and any other matters related to customs)

 

  • Support the NES area team with managing the internal trainings and workshops and provide all the needed support and coordinate with liaison officer for any approval needed
  • Prepare payment requests for needed office purchases
  • Follow the process of the office leases renewal/extension with the landlord.
  • All relevant documents are compiled on One Drive Admin Folder.
  • Provide admin briefings to new staff, visitors, consultants and contractors and assist in preparation and implementation of program visit itineraries
  • Ensure all tax documents are ready and handed to liaison officer per quarter
  • Follow up the movement plan with Ops team and coordinate with Security and liaison officer
  • Other tasks as assigned by the PnC Specialist and NES area manager

 

 

 

 

  1. Required Professional Experience

 

Minimum 3 year of experience Administration with medium business/medium NGO/government agency;

 

  1. Required Education, training, license, registration, and certification

 

University degree or equivalent in Business Administration, Social Sciences, Psychology or a related field;

 

  1. Preferred Knowledge and Qualifications

 

Excellent detail-orientation skills; Good communications skills;

Thorough working knowledge of office systems. Computer aptitude and experience with word processing, database management, and spreadsheet software;

Ability to maintain positive relationships with colleagues,

Emotional maturity and ability to deal with matters of strict confidentiality; Excellent organizational and planning skills;

Excellent knowledge of local labour law and related legislations;

Professional certification in HR in locally or internationally recognized HR institutions is a plus; Quick learner, agile, flexible and adaptable;

Ability to contribute to the healthy team spirit within the virtual teams; Cross-cultural sensitivity

Experience of work in an INGO setting and past exposure with the international working culture and practices is a huge advantage;
