The HR Assistant role is integral in providing administrative support to the Human Resources department. Your attention to detail and organizational skills contribute to the efficient and effective management of HR processes and personnel matters. 

Key Responsibilities: 

  • Recruitment Support: 

  • Assist in the recruitment process, including posting job vacancies, collecting applications, and coordinating interviews. 

  • Maintain candidate records and correspondence. 

  • Onboarding and Orientation: 

  • Support new employees during the onboarding process by providing information, paperwork, and guidance. 

  • Assist in orientation sessions for new hires. 

  • HR Documentation: 

  • Maintain accurate and organized HR records, including personnel files, contracts, and other HR documents. 

  • Ensure compliance with record-keeping requirements. 

  • Employee Benefits: 

  • Assist employees with inquiries related to benefits, leave policies, and HR policies and procedures. 

  • Coordinate benefits enrollment and changes. 

  • Training and Development: 

  • Assist in coordinating training sessions and workshops for employees. 

  • Maintain training records and track employee development. 

  • Payroll and Timekeeping: 

  • Support payroll processing by verifying time and attendance records. 

  • Assist in resolving payroll discrepancies and inquiries. 

  • Performance Management: 

  • Assist in the performance appraisal process by tracking deadlines, documentation, and employee feedback. 

  • Maintain performance management records. 

  • Travel Coordination: 

  • Coordinate travel arrangements for HR-related activities, such as training sessions and meetings in various SCR locations. 

  • HR Reporting: 

  • Assist in generating HR-related reports and analytics as needed. 

  • Compile data for HR metrics and KPIs. 

  • Security Awareness: 

  • Be aware of security protocols and guidelines within the region. 

  • Collaborate with security personnel to ensure a safe working environment during travel. 

  • Compliance: 

  • Adhere to SCR's HR policies, procedures, and ethical standards. 

  • Uphold confidentiality and ethical HR practices. 

Qualifications:

  • University degree (bachelor’s degree in business administration, economics, social science or any related field) or equivalent work experience in HR.

  • Minimum of 1 year' experience in HR administration or similar role preferably in an NGO setting.

Skills /experience:

  • Very good command of English (speaking, reading, writing).

  • Proficiency in computer applications (MS Word, Excel, Power point).

  • Structured and organized personality.

  • Ability to always ensure confidentiality.

  • High level of integrity.

  • Excellent communication and inter-personal skills with ability to pay attention to detail.

  • Good communication skills and dealing with staff when needed.
